Policy on Handling Personal Information of Students and Alumni

Personal information of students and alumni collected by the University through registration and other procedures while in school or after graduation is solely used for the purposes indicated below and without prior permission it is not used for other purposes. Upon request by a student or an alumnus/alumna, after verifying the requester's identification, the University will correct, change or discontinue using the requested personal information.

 

1. Purposes of Use

  • Administrating changes of students status including registration, leave of absence, and withdrawal;
  • Conducting course enrollment, grade assessment, and class administration;
  • Study and research supervision;
  • Administrating completion of courses and degree conferment;
  • Managing and analyzing the information of career paths after graduation;
  • Issuing student ID cards and various certificates;
  • Healthcare affairs and security management;
  • Career guidance and employment support;
  • Financial support including tuition exemption, scholarship, and research grant;
  • Procedure related to the Research Fellowship of Japan Society for the Promotion of Science (JSPS);
  • Administrating tuition payment and subsidizing cost related to academic activities;
  • Assisting students' school life and external activities;
  • Procedure related to the Status of Residence of international students;
  • Providing access to campus facility and equipment;
  • Providing access to the libraries
  • Consultation with parents [guardians] on students' academic performance;
  • Request for cooperation on questionnaires;
  • Request for cooperation on the University's PR activities;
  • Providing information on campus events, school magazines, and fund-raising;
  • Sending various school information to alumni;
  • Providing access to the University's internal network;
  • Guiding to register to ORCID (Open Researcher and Contributor ID [https: orcid.org/]) and providing a certificate of enrollment;
  • Compiling various statistical data;
  • In addition to the above, other administrative purposes of the University including educational and student supportive operations;

2 Disclosure of Personal Information to Third Parties

The University shall neither use personal information for purposes other than the stated above, nor disclose to third parties without agreement of the student except as otherwise stipulated in the Article 9 of the Act on the Protection of Personal Information Held by Independence Administrative Agencies. However, the University may provide the minimum amount of information on the following cases:


  • (1) where the University supplies to partner universities the personal information of the students who wish to study and earn credits or wish to receive research supervision at a university which signed the student exchange agreement with the University.
  • (2) where the University outsources the operations of the above (1), on the condition that the University makes agreement with the outsourcers regarding appropriate handling of personal information.
