How to Order Certificates (For Alumni)

"The presentation of a duplicate (copy) of the applicant's identification document" is required upon application for certificates. After verification, the duplicate (copy) will be returned to the applicant together with the issued certificate(s).

Certificates issued by SOKENDAI

SOKENDAI issues Certificates listed in the table below. If any other certificate is required, please contact the section given at the bottom of this page and inquire if the intended certificate can be issued.

Doctoral degree (PhD) Certificate of Graduation (Shuryou-Shomeisho) Certifies that the applicant completed a doctoral program and was conferred a degree of Doctor of Philosophy by SOKENDAI.
Academic Transcript (Seiseki-Shomeisho) Certifies the applicant's academic record of the courses completed at SOKENDAI.
PhD by dissertation Certificate of Doctoral Degree (Gakui-Shutoku-Shomeisho) Certifies that the applicant earned a doctoral degree from SOKENDAI.
Withdrawal Certificate of Withdrawal from the University (Taigaku-Shomeisho) Certifies that the applicant withdrew from SOKENDAI.
Certificate of Period of Registration (Zaiseki-Kikan-Shomeisho) Certifies the applicant's registered period at SOKENDAI until the day of withdrawal.
Certificate of Withdrawal with Credits (Tan'i-Shutoku-Taigaku-Shomeisho) Certifies that the applicant withdrew from SOKENDAI after satisfying SOKENDAI's requirements for completing a doctoral program (the applicant was enrolled for a period of 3 or 5 years or longer and earned the credits required by each department).
Academic Transcript (Seiseki-Shomeisho) Certifies the applicant's academic record of the courses completed at SOKENDAI.
Certificate of Conferment of a Master's Degree (Shushi-Gakui-Shutoku-Shomeisho) Certifies that the applicant earned a master's degree from SOKENDAI.

* No Certificate of Graduation is issued for a master's degree. At SOKENDAI, a master's degree is granted to a student who has satisfied the requirements for a master's degree upon withdrawal from his/her doctoral program. This practice is not formally regarded as graduation.

* The name on certificates will be the one used by the applicant while attending SOKENDAI.

How to apply for certificates

In principle, an Application Form for Certificates should be submitted by the applicant himself/herself by mail.

  3. Self-addressed stamped envelope

Application procedures

1. Fill in the Application Form for Certificates (Shomeisho-Hakko-Shinseisho).

2. Please prepare a duplicate copy of "the applicant's identification document." Suitable documents for "identification document" described above include Health Insurance Card, Driver's License, Individual Number Card, Residence Card, and Passport which state the name, date of birth, and address of the applicant with an identification number. The copy of "identification document" will be returned to the applicant together with issued certificate(s).

3.Prepare a self-addressed envelope. Write the name and address of the recipient on an envelope stamped with relevant postage.

*Each issued certificate will be three-folded, separately enveloped and sealed. Without individual envelopes, a total weight of the issued certificate(s) and consequent postage could be less. If there is no need to have certificate(s) in sealed envelope(s) and receive certificates in a bare state, please check with Educational Affairs Section for exact postage, prior to application (see Contact below).

If the applicant wishes to receive certificate(s) by express mail [Sokutatsu]

Add a stamp(s) of 300 yen to the above regular postage.
* Write "EXPRESS [Sokutatsu]" in red ink on the envelope.

If the applicant wishes to receive certificate(s) by traceable mail [Tokutei-Kiroku-Yubin]

Add a stamp(s) of 210 yen to the above regular postage.
* Write "ACCEPTANCE-RECORDED MAIL [Tokutei-Kiroku-Yubin]" in red ink on the front of envelope.

*If the applicant wishes to receive the issued certificate(s) in person, we will send the self-addressed envelope by recorded delivery (please add a stamp of 350 yen to the above regular postage, and write SIMPLIFIED REGISTRATION [Kan'i-Kakitome] on the front of envelope). Please note that if delivery is made during the applicant's absence, the mail will be returned to the post office and kept there for a certain period.

*If the applicant wishes to receive certificate(s) at an overseas address, please contact Educational Affairs Section and inquire postal charge (see Contact below).

4. Enclose the application, a copy of the applicant's identification document, and a self-addressed stamped envelope, in an envelope with the words "APPLICATION FORM FOR CERTIFICATES ENCLOSED" written in red ink on the front, and mail it to the Educational Affairs Section (Kyomu-gakari), Academic and Student Affairs Division (Gakumu-ka), The Graduate University for Advanced Studies, SOKENDAI. Requested certificate(s) will be posted within approximately 3 business days (excluding Saturdays, Sundays, national holidays in Japan, and December 29 to January 3) after the arrival of the Application Form.
*If you request from overseas, please send your application well in advance to avoid delays through international delivery.

Application by proxy

Application can be made by a proxy authorized by the applicant.

Required materials for application

  1. Application Form for Certificates (Shomeisho-Hakko-Shinseisho)
  2. Duplicate (copy) of the proxy's identification document

  3. Letter of Attorney
  4. Self-addressed stamped envelope

    (cf. See the above ■Application Procedures [3.])

Enclose the materials in an envelope marked with "APPLICATION FORM FOR CERTIFICATES ENCLOSED" written in red ink and send it to the Educational Affairs Section, Academic and Student Affairs Division, The Graduate University for Advanced Studies, SOKENDAI. Requested certificate(s) will be posted within approximately 3 business days (excluding Saturdays, Sundays, national holidays in Japan, and December 29 to January 3) after the arrival of the Application Form, and sent to the applicant or proxy stated in the Letter of Attorney only. Delivery to any other addressees cannot be made.

*Any format can be accepted as long as it includes the necessary information as follows:

・ The applicant confirms by providing with seal or signature that his/her proxy is given authority to act on behalf of the applicant.

・The proxy's name, address, contact information, and relation to the applicant.
