Regarding the Execution of Expenses for Co-Creation Activity Support

1.Introduction

The procedures for executing these expenses are handled by the Hayama Headquarters. Please use the funds effectively in accordance with the approved purpose. If the payment requirements are not met, if the necessary documents are insufficient, or if deadlines for payment procedures are missed, payment may be delayed, reduced, or denied.
Before starting any project, please review the following items and carry out the necessary procedures at the appropriate time.

2.Travel Expenses

 

Travel expenses for students participating in official activities will be supported in accordance with the “Regulations on Travel Expense Subsidies for Students Participating in Regular Curriculum Activities.” For details, please refer to Student Travel Expense Subsidies.

〇Eligible Recipients
・Students of the university
・Recipients of honoraria for lectures

〇Required Documents
〔Application〕
Submit the following documents at least 7 days before travel begins:
【Final Deadline: The day before the last business day of February】
(1)“Application form for payment of travel expense for SOKENDAI activity” Form 1
 ※Prepare one for each eligible recipient.
(2)Documents showing the location and schedule of joint research, seminars, etc. (any format)
(3)“Local Remittance Registration Application”Form 2-1 
 ※Please submit the form for the first time to receive travel expense subsidies from SOKENDAI, or if you wish to update the registered account information.

〔Settlement〕
Submit the following documents within 7 days after travel ends:
(1)Original accommodation receipt in case of overnight stay
(2)Documents confirming the implementation of joint research, seminars, etc. (any format)

3.Honoraria for Lecturers

Honoraria for external lecturers necessary for joint research, seminars, etc., will be supported.
The standard honorarium rates are as shown below.

Note: Honoraria are paid after deducting withholding tax, etc. Honoraria cannot be paid to SOKENDAI faculty members (including course instructors).

Submit the following documents at least 7 days before the project starts:

(1)Work (Honorarium) Request Form Form 3
(2)Documents showing the lecturer’s name, purpose of the lecture, and schedule(any format)
(3)“Local Remittance Registration Application” Form 2-2
※Depending on the lecturer’s affiliated institution, a letter of appointment(sample format available)may be required. Please confirm with the lecturer in advance and notify us if necessary.

〔Completion Report〕
Submit the following documents within 7 days after the project ends:
(1)Attendance Sheet(sample/ provided after application
(2)Documents confirming the event took place (e.g., posters showing date and location)

4.Venue Rental Fees

Support is available for venue rental fees necessary for joint research, seminars, etc., including equipment fees for projectors, screens, microphones, etc.(Food and beverage costs are not supported.)Payment procedures will be handled by the Hayama Headquarters.
Some venues may require payment at the time of booking, so please consult us early.
